1. Who we are and what this policy covers
TeeBot7, LLC ("TeeBot7", "we", "our" or "us") runs the TeeBot7 tee-time search and alert service. This policy explains what information we collect, how we use and share it, how long we keep it, and the choices you have.
It covers our website, teebot7.com, and TeeBot7 on SMS text messaging, WhatsApp, Facebook Messenger, Instagram, Telegram and Apple Messages for Business.
2. Information we collect
When you chat with TeeBot7
- Your messaging identifier. Your phone number on SMS and WhatsApp, or the ID that Messenger, Instagram, Telegram or Apple Messages assigns to your conversation with us. We don't ask these apps for your name, email address or profile.
- Your golf preferences. The ZIP code, city or course area you give us, your search radius, your saved courses, and the details of each search or alert: course, date, time window and number of players. If you share a location pin, we convert it to a general area and discard the exact coordinates.
- A mobile number for alerts, if you choose to give one so alerts can reach you by text.
- Your messages. We use the messages you send to reply to you. To understand follow-up messages, we may keep the text of your recent messages for up to 7 days, and then we delete it automatically.
- Server logs. Our systems record incoming messages and our replies in operational logs so we can find and fix problems. We delete these logs after 30 days.
- Premium subscription details. Whether you subscribe, your renewal and cancellation dates, and the customer ID our payment processor, Stripe, gives us. Stripe handles your payment details; we never see or store your card number.
- Referral codes. If you arrived through a partner or creator link, the referral code it carried.
- Usage events. Records of actions such as signing up, searching, tee times found and booking links opened, tied to your messaging identifier.
On our website
- Forms. If you use our contact form or course request form, we collect what you enter, such as how to reach you, your message, or the course you'd like added.
- Analytics. Our website uses Google Analytics, which sets cookies and collects information such as the pages you visit, how you arrived, your browser and device, and an approximate location based on your IP address. You can block cookies in your browser settings or install Google's Analytics opt-out browser add-on.
3. How we use information
- To search tee sheets and send you the alerts and booking links you ask for.
- To understand your messages and keep the conversation going (see section 4).
- To provide customer support.
- To run Premium subscriptions and credit referral partners.
- To keep the service working, secure and free of abuse, and to improve it.
- To meet our legal obligations.
We don't sell your personal information, and we don't use it for targeted advertising.
4. Artificial intelligence and human support
TeeBot7 uses OpenAI's models to help understand what you type and to power our support assistant. We send OpenAI the text of your message and only the context needed to answer, such as your saved area or the courses on screen. We don't add your phone number or messaging ID to what we send. Under OpenAI's API terms, OpenAI does not use this data to train its models.
If the assistant can't help, your support messages go to a person on our team, who may reply in the same chat. Our team receives these messages through Telegram.
5. How we share information
We share information only with service providers that process it on our behalf to run TeeBot7:
- Twilio for SMS text messages
- Meta for Facebook Messenger, Instagram and WhatsApp
- Telegram for Telegram messaging and our support team's notifications
- Apple and Zendesk for Apple Messages for Business
- Stripe for Premium payments
- OpenAI for message understanding and AI support
- Google for website analytics
- Amazon Web Services for hosting
To find tee times we query course booking systems, such as GolfNow, ForeUp and Chronogolf, using only the course, date, time and number of players, never your personal information. When you open a booking link you're on that site, and its own privacy policy applies.
We may also disclose information when the law requires it, to protect the rights and safety of our users or others, or as part of a merger, acquisition or sale of our business.
6. SMS Data & 10DLC Compliance
No Mobile Information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
7. How long we keep information
- Your account and preferences: until you delete your account.
- Search alerts, including ended ones: while your account exists; they're deleted with your account.
- Usage events: while your account exists; they're deleted with your account.
- Message text: up to 7 days, as described in section 2.
- Website form submissions: until you ask us to delete them.
- Server logs: 30 days.
- Backups: 30 days.
- Billing records: Stripe keeps payment records as the law requires.
8. Your choices and rights
- Stop messages. Reply STOP in any TeeBot7 chat and we'll stop messaging you and end your search alerts. For assistance, reply HELP or contact our support team.
- Delete your account. Send delete account in any TeeBot7 chat, or follow our Data Deletion Instructions.
- Access or correct your information. Email us at the address below.
- California residents. You can ask to know, access, correct and delete the personal information we hold about you, and we won't treat you differently for asking. We don't sell or share personal information for cross-context behavioral advertising.
9. Children
TeeBot7 is not directed to children under 13, and we don't knowingly collect their personal information. If you believe a child has used TeeBot7, contact us and we'll delete it.
10. Security
We protect information with measures such as encrypted connections, restricted server access, and access keys between our own services. No system is perfectly secure, so we can't guarantee absolute security.
11. Changes to this policy
If we make material changes, we'll update the effective date above and post a notice on our website.
